You can’t get away from it—a big part of scheduling is knowing when you and your coworkers are not going to be on the job. Crew helps make the process of requesting time off smooth and efficient for everyone.
Team Members Here’s how to request time off.
- Tap the “+New” button from the Personal view in your Calendar tab
- Select “Request Time Off”
- Change the dates of your request, if necessary. You can also add a comment to your request, if you choose.
- Tap “Save”
You can also contact the appropriate manager/s through your Chats or Coworkers tab using the “Req Time Off” button in the Add-Ons tray.
Your request will appear in your schedule on the (first) day of your proposed time off as “Pending” or “Awaiting Approval.” If you need to cancel your request, tap on the request message from your Chats tab. You can also make changes from the “Time Off” block in your Calendar tab.
An Admin will approve or deny the request and you’ll be notified of the result. At this point you may want to alert your coworkers that you have an open shift that needs covering.
Team Member Note If you don’t see the option to request time off your Admin has disabled that feature.
Admins All of your Organization’s Admins will get all time off–request notifications on their Chats screens, so any conversations about the details of the request—dates, need for coverage, etc.—can happen within that group. Any Admin can approve a request, and all the others will see that it’s been done and who did it.
Tap on the message to review details and to respond.
Pending approvals will also appear as action items in the Team view of your Calendar tab. This can be helpful for tracking your employees’ availability when planning future schedules. Make sure to take advantage of Crew’s Availability feature to help keep track of when your team members are available to work.
Approved time off will also appear under the team member’s name on the “Assign Shift” screen when you’re creating a new shift, so the info you need as always right there when you need it.
Admin Note You can disable the Time Off Requests feature by tapping the Settings wheel on your Calendar tab. Select the Schedule option and scroll down to “More Options,” where you’ll find a toggle switch for “Time Off Requests.” Or, by going to the Manage button for “Crew Schedule” on your Admin tab.
